Privacy Policy

This policy explains what personal information RSVPs Invite collects, why we collect it, and what we do with it. It covers both our clients and the guests who use the sites, galleries and menus we build. If anything here is unclear, email [email protected] and we will explain it.

1. Who we are

RSVPs Invite builds custom online RSVP websites, live QR photo galleries and QR code restaurant menus. We operate from the Philippines and work with clients worldwide.

2. What we collect

We collect different information depending on whether you are a client, a website visitor, or a guest using something we built.

If you contact us or become a client

  • Your name and the contact details you give us, such as email address or phone number
  • Details about your event or restaurant, including dates, venue, guest counts and menus
  • Photos, logos, colors and other materials you send us for the build
  • Our correspondence with you, including WhatsApp messages and emails
  • Payment records, though not your full card or bank details, which stay with the payment provider

3. Guest information and photos

This section matters most, because it covers people who never dealt with us directly.

RSVP websites

When a guest replies on an RSVP site we built, we process their name, their response, and anything else the client asked them to provide, such as a meal choice or a plus-one. This information belongs to our client, not to us. We hold it on their behalf, we do not use it for our own purposes, and we never contact guests other than the automatic event reminders the client has set up.

QR photo galleries

When a guest uploads a photo or video to a gallery, we store that file so it can appear in the gallery and be handed to our client afterward. Photos may show identifiable people, including guests who did not upload anything themselves.

We do not use guest photos for marketing, we do not analyse them, and we do not share them with anyone other than the client who commissioned the gallery. Guests who want a photo of themselves removed should contact the event host, or email us directly at [email protected] and we will remove it.

QR restaurant menus

When a diner places an order through a QR menu, the order details are sent to the restaurant's WhatsApp. Once delivered, that message is held by the restaurant and by WhatsApp under their own terms, not by us.

4. Why we collect it

  • To build what you asked for. We cannot design your RSVP site without your names, date and venue.
  • To run the service. Guest lists, galleries and menus need to store information to function.
  • To communicate with you. Answering enquiries, sending previews, confirming details.
  • To take payment and keep records of it.
  • To meet legal obligations where the law requires us to keep records.

We do not sell personal information to anyone, and we do not use client or guest data to advertise to you.

5. Who we share it with

We share information only where it is necessary to deliver the service:

  • Our client. RSVP replies and gallery photos are handed to the client who commissioned the project. That is the point of the service.
  • Hosting and infrastructure providers who store the site and its data on our behalf.
  • Payment providers including GCash, PayPal and Wise, who handle their own data under their own policies.
  • WhatsApp, where restaurant orders are delivered. WhatsApp processes those messages under Meta's privacy policy.
  • Authorities, if we are legally required to disclose something.

We do not share information with advertisers or data brokers.

6. How long we keep it

  • Enquiries that do not become projects: up to 12 months, then deleted.
  • RSVP site data: for the 5 months the site is live, plus any extension. Deleted within 30 days after the site comes down.
  • Gallery photos and video: for the month the gallery is live, plus any extension. Deleted within 30 days after handover to the client. After that point the client holds the only copy.
  • Restaurant menu data: for as long as the menu is active, and for 2 months after payment stops before the menu is taken offline.
  • Payment and business records: as long as the law requires.

If you want something deleted sooner, ask us and we will do it where we are not legally required to keep it.

7. How we protect it

We take reasonable technical and organisational measures to protect the information we hold, including restricting access to those who need it and using reputable hosting providers.

We should be honest that no online service can guarantee absolute security. If a breach occurs that affects your personal information, we will tell you and the relevant authorities as required by law.

8. Your rights

Under the Philippine Data Privacy Act of 2012, and under GDPR if you are in the European Union or United Kingdom, you have the right to:

  • Ask what personal information we hold about you
  • Ask us to correct anything inaccurate
  • Ask us to delete it, where we are not legally required to keep it
  • Object to us processing it, or ask us to restrict how we use it
  • Ask for a copy of it in a portable format
  • Complain to a data protection authority, which in the Philippines is the National Privacy Commission

If you are a guest rather than a client, note that we hold your information on the client's behalf, so we may need to consult them before acting. Requests to delete photos of yourself from a gallery are an exception and we will act on those directly.

9. Cookies and tracking

This website is built on GoHighLevel, which sets cookies necessary for the site and its forms to function. We do not set our own advertising cookies.

We may in future use the Meta Pixel to measure the performance of advertising. If we do, we will update this policy before it goes live, and it will be disclosed here. You can control cookies through your browser settings at any time.

10. Children

Our services are sold to adults. We do not knowingly collect personal information from children directly.

We recognise that events involve children, and that photos uploaded to a gallery may show them. Where that happens, responsibility for consent sits with the event host, who invited those guests and controls the gallery. If you are a parent or guardian and want a photo of your child removed, email us and we will remove it without requiring you to go through the host.

11. International clients

We are based in the Philippines and our infrastructure may store data in other countries. If you are outside the Philippines, your information will be transferred to and processed here.

Where the law of your country gives you stronger rights than Philippine law, we will honour those rights. Contact us if you want to know how we handle a specific requirement.

12. Changes to this policy

We will update this policy when our practices change, and the date at the top will change with it. For material changes affecting active clients, we will tell you directly rather than relying on you to check this page.
